it's all yours mr. chair all right so I like to call it to order at 4:36 Melody is running a little late so I at least want to do it power here and get that so I'll make a motion to approve the August 6th 2020 special meeting and the August 17th 2020 special meeting second end any other discussion favor the next thing so I'll make Sylvan Esso the financial report I second that discussion Bobby Scott call Ryan Robertson able to pull that up for me again working on that right now sir let me get the share screen Halo right so if you don't mind scrolling to the bottom will start their Rob so the easiest way to start this I think is will just start with where we end of the year we ended the year with a budget surplus of 100 $35,278 and $175,980 and are expendable 260 3689 $10 looking through this we can go up to revenues and competitively looking those the major drivers are in areas that looks like we ended up below for the year was the other local we had we had anticipated $12,000 in tuition in one line that we did not receive so that was a little under that explains most of the other local why that's below and if you see that this Federal sources is we were short 71,000 is mostly made up of the $65,000 placeholder that we put every year it allows us to accept Federal grant money as it becomes available. Everybody understands on a bottom line budget which means we are only allowed to expand the amount of funds. voters approved for so if we did not add in that $65,000 is both a revenue and liability when funds like the cares act that a just come out happens wouldn't be able to accept or spend those funds so every year you're going to see that on there some Years it'll be a little bit different like next year because we're going to have those cares fun populate that way if we move on down to the expenses you can see the major changes between June's last financial report in the end of the year was regular instruction and a big portion of that was small Mouse and benefits we did receive some money back for the workers comp insurance because the rates were we did really good you're so we actually received the credit which reduced that amount quite a bit we also had a little bit of money and a bunch of different accounts do to Koba that didn't get spent like supplies print media software equipment furniture replacement equipment so just a bunch of little things that added up at the end of the year to takoba did not use it meeting to use all those lines the same thing Health Services a budgeted for one Health Plan and that changed so we had we were pretty much showing that Surplus in that account line the entire time there was a considerable change from the previous there and those we're in money that we had set aside for contracted Services we had a $6,800 surplus and physical therapy on which is pretty much made up the bulk of that and that is based on need budget each year we base it on the meet at that time whether students move in or out whether Services change ID fees change those Services change so that explains the change the surplus of that account was just is what change their calming down the next one that had any kind of considerable change with school administrative services what changed in that account then is a little bit of money to be set aside for extended hours for office staff that were not needed we have a little bit the savings again in the benefits line do that workers comp and another considerable amount was was from that in a little bit saved in software they are too to create that joke about $4,000 between children and now Building Services right about where we projected in June transportation services there was a lot additional savings David again that was because of the covid-19 not having some field trips and we're getting some money back while we're closed for fuel savings from the actual Transportation Company and then the transfer line that came 65000 of that was the the money that we hold in reserve presidents Ted budgeted $50,000 for a transfer to Food Services and we ended up only needing to transfer $21,000 so that those are the major drivers which leaves us with an available balance of $135,278 which will be counted as a revenue in next year's budget which reduces the tax rate in the DM is it needs to be raised the additional tax forms by taxpayers by that amount next year is there any questions are you free for iPhone that money and it makes pictures by jellicorse I can give you a couple of next year's budget is well we'll see this next year I'll have next month I have the exact but we're going to have some additional small amount of savings from healthtrust because our we had been given a guaranteed Max rate for an ink Sutter Health insurance policies of 4.6% which is what we budgeted for it actually came back due to our usage and only 2.8% of an increased so we're going to see a 3.8% Savings in our health insurance it's also having another smaller amount being returned for the house insurance from last year's well so is definitely some savings and health insurance happy information I will work on that now or I will come back we have we have any non-public is outside and I have nobody waiting to come into the meeting so what you see we have to approve the 2021 2022 proposed budget schedule did you have a chance to look at that car I didn't really it's pretty much the same as every year we just had we combined our December meeting from we have the business and we have I think they're Wednesday that we have the I did look at this yes emotion to approve the budget schedule as presented second act pretty straightforward wake your up on the list are hello hello it's good to see everybody and I just wanted to give everyone a quick update in regards to our enrollment and some of the unique things we are doing to accommodate the hybrid model at Harrisville and then I like to survive an update on our studies grounds and maintenance work and then I have a couple topics that I would like to propose perhaps we got a little bit further and they'll need some school board approval right now we have 63 students who are currently enrolled at Harrisville 53 are participating in a hybrid model which means they're on site few days at least they are off. today's week and everyone is participating in the remote learning model on Wednesday at least 10 students were participating in the hundred percent promote bottle that we are also offering we opened our doors on September and we were very excited to see our students whether they were walking through in person or online I've been extremely impressed by their students enthusiasm and engagement and community at the true Testament to what our teachers and community and families have really put in place because there was a seamless transition back to school and I just want to thank everyone who Tyson Harris. Who worked at the FAU for their help and support to kick off the school year has been hard at work to put together some type specific procedures and all of these procedures were designed to keep the health and safety Taft Benson community in mind they're all based on guidance from the CDC the state of New Hampshire the sau29 framework and our universe I just want really want to make sure that I Stay all of our staff members but also mrs. Putnam and mr. Robbins Swift on Above & Beyond this summer to get the school ready and prepared and make sure it's safe for students and staff return we have completed are School ventilation system work which included a cleaning and service of r e r b unit with his house is out on the gym Bruce it's now operating at top efficiency and thus to Old Motors in the Attic will replace Bilal for ventilation and finally the vent pipes in the old attic were extended to include are draw for room 1 and 2 we have removed extra Furniture which is now located and the Beautiful storage pods parking lot and that allows for adequate distancing recommended by the CDC we are cleaning and disinfecting on a regular basis and I all visitors are being screened goggles and prioritize blenders delivered and packages are big monitors we have upgraded with some new LED light in the back parking lot but has the safety of the school is it's often very dark when I'm leaving the school grounds and Plum sapphire in the process of setting up some outdoor areas to support student learning we've already purchased them feeding some canopies and benches and we are applying for the Harrisburg Community find granite other funding local funding sources to purchase and and resources to enhance our outdoor anyone have any questions about what I've discussed so far what is the same thing that they Community was very pleased about everything was going so well. thank you Eric I appreciate that I certainly Sinclair thank you for bringing that up please encourage families were having trouble with the internet reached out to the school and we'll try to work with them again we have our local hotspot set up outside so he'll be coming use it they just have to pull up here the flagpole and sign into our guest account we had both the other day when it hears Phil internet went down looks like a little parade outside everyone stayed in their cars and was doing their school work to do that we have received one building rental application from Kathy Lopez in the town of Harrisville that I was hoping we could discuss this evening we have also received a very generous gift from rccl which I was like to talk about medicine ask for the board to accept that gift and I would also like us it's not necessarily at this meeting but we do need to talk about whether or not we want to have a school board retreat are there any Topix bet you'd like me to elaborate on further right now or should I say build up so Retreat we can think about like Reading Eggs happy love has contacted me back in August and she would like voting at the school on November 3rd they have filled out an application form that would just need the board signature and they have outlined our procedures and the thief items that will be issued in order to maintain their do the safety regulations during that state in presidential election is it I'm sorry I couldn't hear you officials to make sure that we have him set up in a timely fashion and taken down and students are not in school during the day is the workshop day that we would be able to support them in that Plaza issues from your end having to clean up or whatnot are they going to do like the usual there even in the staff kitchen or like it's a doll different thing when eating now and then in the old days that's that's very true we have actually turned our staff Lounge that we've been typically using that use I'm sure you seen before next to the office into our isolation room on every move the stack Lowndes further down the hallway it does she doesn't indicate that serving food in the use of the kitchen they are not requesting that at this time we have not spoken about food and I certainly can follow up with her as long as they have a plan and they're citation dinner because that's just a whole other can of worms I'll check with Kathy and see what we can do to accommodate them but do it in a safe way just trying to protect the one on the front entrance in the one of the back to the exit and it's possible. exit through the bathroom sink have to be available but mostly I need for the those people vote off the boat has am I correct could they not take up a gazebo outside for us to go and sit outside and have but that's my suggestion is that the school remains closed to the public is that possible Kate it certainly can be possible and I know I would be happy to work with the town to make sure that they have a location outside that would work for them and certainly it would be much easier for mr. Robbins to sanitize the school either following that event or the next morning when he only has a smaller area is clean and sanitize have a great idea thank you question for the gazebo at the front door for people the stand in the parking lot you can't just go into the gym and out to the playground and I'm sure that that workers but I really need to know the building I need to come to the front doors staff I think there's a big push to do online at least impossible voting so they might be fewer people going into first person okay my check ins give me the motion to allow the town to use it for the what what do you want I think we just need to if if you do approve the building rent I'll just need a signature probably Eric from you and I will also sign it and will let Kathy know that you've a fruit that are you guys are on depends on the day I can also scan it to you if that's easier and yeah but you're not using that we're not going to sound to use multi-purpose room on November 3rd for Town elections and we will waive the fees and they will follow the skyline vet recommence I'm sick of it. remind me to talk to somebody over there I think thank you we'll put you to work you better have registered already bring your hat and gloves second I'll take that I just wanted to put out and possibly discuss a little bit this GTO had heard that we were working on trying to find creative ways to pay for some of the items that we did not budget for that were a result of we're trying to score on a hybrid model and one of those was purchasing some outdoor seating for students so they did not have to sit on a wet or cold ground and auto purchasing feeding that we could easily please sanitize and so we were in the process of purchasing plastic Adirondack chairs or each one of the classrooms and basically I just counted from hamshaws and the PTO put together a sponsor a chair program and put that out to families in order to off that are pot and the response from the community was amazing and I'd like to if anybody's listening just thank our community for their their donations not only do we have enough to pay for all of the chairs but there is now $909 INXS that they would like to be put for canopies or are wolves spot which are born while they're outside and so in order to app that guess I just would have to come from the school board and I I would certainly support that and would like to thank you feeling the community for their generosity to accept a generous gift from the sea and also we could pass along our gratitude to that PTO for doing that I second that motion you can breathe PP ologist Deffenbaugh chairs for everyone Outdoor Classroom and a bunch of other money to help pay for stuff outside in it so we're just accepting that donation right now oh that's wonderful thank you quickly Eric if he died mind I'm dead I just want to confirm that you that came back being on the app on my yep that's me just for the record I'm Melody showed up at 5:04 and the board while you were out past the motion to accept the gift from the PTO for the outdoor seating and in support of the Outdoor Learning 412 Memorial Abbotts Creek I have thank you Eric thank you for your thank you melody manufacturer I do have the Manifest excellent curveball to use while just in case so I'm going to pull those up now and I will read them both calves manifest heated 914 2020 text number 007-725-2200 726 in the amount of $1,029.75 and we have checks 928 2020 text number 207 7272 207 760 in the amount of $41,752 in 61 can you repeat that total you broke up a little $41,752.61. I'll make a motion to accept the bills and manifests as presented by Scott for the September manifest China and I'll take care of that they're getting that back to gaiser naughty again one abstention all right I got to see my p**** and there is two Daryl with one abstention looks like we are up next so you don't have a separate report for me because I've been giving you weekly reports a couple months and continue to provide that through the weekly updates hopefully hopefully you're getting your fill in your your you've had enough of reading what I'm sending out there I would Echo Kate sentiments from earlier and that the opening went very very well not just for Wells Memorial but for the schools throughout the sou I think on September 10th when you got to about quarter past 9 in the morning with a key Middle School being the last little more than you can hear a collective sigh from all of the schools I am inconsiderate even here at central office it was just a little bit of a relief for everyone to be able to get back into the flow of having students on-site the welcoming depreciation that our students have for school more so than we've probably ever seen before I would say on I ask no less than 200 students as I went around that morning if they missed being in school and there was only one exception to the response and that person's liking sleeping in a little bit but play they all affirm that they missed being in school and I think that's been reflective in in how they are approaching the big four as we call it or as I call it anyway and maybe no one else does but me but that's okay the Big 4 that is going to help keep us all safe by doing the screening by wearing the face covering by keeping the distance and by washing our hands were seeing overall compliance and adherence to that in our buildings with our students with our staff I think that's because everybody really appreciates to a new level of being back inside of her school buildings and structures and face-to-face interaction with their teachers and with their classmate so kudos to going for doing a great job of kudos to Kate Shanks for being such a fantastic leader and in having her school already and her staff ready I know they worked collaboratively in that Kate will tell you that it was not her that it was her team that really pulled together and I think that we recognize that they really did a marvelous job of of getting things in order and being ready to support the students when they got into the building so Pastor job overall in your packets are included some things just so you are aware of the communications that go out to families not from Wells Memorial but from the Middle School in the high school where you say and students and it just gives you an indication of just how much and how often communicate since I've been going out to families and it's been a lot and I mean there's a lot it's a totally different environment in and we want to make sure that we're not under communicating although sometimes it might feel like that but you'll see most of the communication have all of the pertinent information when it's being sent out by the different building leaders around the SAU sometimes we say well I never got that but you know we're just trying to really over communicate and I think that that be overwhelming for some families to because they're seeing so many messages and then some of them are very long I know my updates are very long but I do one instead of multiple during the week so that it's not coming out every single day and filling up your about that way and I think our building leaders have been trying to be mindful of that as well as our teachers have been and I'm equally as well I think everyone's trying to be mindful we don't want to overload anyone but we don't want to under communicate so I I would rather err on the side of too much than not enough and I think that we have excellent examples of that communication going out there to recognize the efforts of the remote features throughout the essay you and particularly remote teacher who is been overseeing the efforts for those families that opted to be remote only at Wells mr. Thomas is find a bang-up job I don't think anyone would have expected anything less with his TekSavvy passion that he has all the reports then come back very very everybody has been reporting what a what a fantastic job he's been doing and so that's just another feather in the cap of all the efforts that have been put into place to get this school year up and running today you song update you notice something critical reminders for families to update their health records and and some other information regarding meals and in that breakfast and lunch are free for all students until the end of this calendar year or so funds are run out so that's been a very welcome level of support for our families as we're navigating this uncertain time and continue to navigate it I think that that's a good reflects effort and some support for our families and we welcome mat and we want to make sure everyone is aware of that as well we do have the do your part campaign still fully underway and we been getting a lot of her imports from staff and from students until I do need to board members to step up their game a little bit so are you out of the first board meeting since I've sent out that communication earlier today and I will be on the lookout for something from from the Harrisville school board on doing your part I think we're all in this together I think we all recognize that we're in this together having faces from the building their submissions is awesome I think our elected officials can help us further that messaging out to the public in for that weekend truly validate that we are all in this together in that we can truly validate that we got this so with that unless there's any questions I will continue to update you as things come up so that you're not left in the Lurch and that you are always made aware and informed of what's Happening sounds good so now for the SE in 29 have anything you want to add to school board. Delightful my favor meaning of all the competition School Board chairs have to set the budget for the essay year which involves the so we have to have it's a century negotiations with the SAU but it's the really awkward cuz all the people you're negotiating with her also the people like running the meetings and stuff does empathy sounds riveting in finally I like is running the meeting and juxtaposition I guess I don't know it'll be fine thank you Eric I don't like the contract negotiations acacian Association Mitra exactly all right so we don't have any old business so we want to talk about that title 9 sexual harassment policy update first reading yep so when you when you pass that on August 6th I believe is when you passed that initially that put us in the compliance with the required updating of our policy so because it was such a lengthy policy we wanted to make sure we Revisited that as we got back into the monthly flow of our of our meetings I'm not recommending any action at this point in time but just a more thorough and deeper read and if they were updated language changes I'll go back and make sure that we have a Redline version so that you can see what might have changed between August 6th and now you do the updated on them you guys are good thank you Daddy suspend you're in the process like you did in in order to approve that or you can let it run its normal course you are in compliance because you passed it on August 6th we did provide training through the administrator Retreat over the summer on this particular topic we brought in one of the authors who helped the School Board Association write the policy to provide that training to our principles in our administrators throughout the SAU so you did the choice is yours you can review it and then approve it next month or you can suspend your your rules and prove it call two people refer to you guys to do you want to make a motion if you want to wait till next month looking at it and going through the wording am I correct so what do I have to do I make a motion if we accept the sexual harassment on countrymen do the dishes is rich wave the first reading too frightened of messing with computer cuz everything just stresses yeah yeah I'll second.
