E Frazier the business manager Scott Lazaro and our stenographer for this meeting is Jen Sam Parisi is to chair the meeting is all yours hello everyone thanks for joining us I'd like to call the meeting to order the first item on the agenda is to approve the minutes of the April 21st meeting do I hear a motion to approve those minutes multiple crew do I hear a second does anyone have any questions or Corrections or other issues with the minutes so if it works and none if it would suit you it might might be just as moved to ask Jen to facilitate the Roll Call are you for the votes that would be great thank you John mr. Bemis I am broke yes mystery hi mr. polifroni thank you the next time is the primary cause for this meeting being held is for the boy to accept a gift that I like to invite Scott to tell us about very briefly thank you Janice so this gift $2,000 call toys and Food Service program that will help with purchasing to keep phone call cooler to transport basically all in the SAS cities that are required for us to continue to provide lunches to our students during this pandemic and we need to vote in order to get the funds like right now yes because because our Siri a specific dollar amount so board approval anything controversial about this one no there is no other schools in act so you have also applied for it and see if it is well any questions from my fellow board members what happens if the funds aren't all used up where it where do they go from there I don't see a problem with using all of them option is that it would be returned to the grantor do we know where this is coming from hold on one second I think Scott computer is the culprit for the app feedback it could very well be it's the genuth covid-19 Jan used this particular something is coming from the New England Dairy Association hard to argue with that gift how in the mouth well are we are we ready to vote I think you need a motion first suit I move we accept $1,000 reference to food service mr. Miller brownie emotion is a thank you next on the agenda and is an update on accident on scholarship and financial aid Awards I wanted to ask Mark to take the lead come to work thank you very much so we had where you at I don't need a lot of feedback so you can hear me okay okay so we have only two only two students are graduating Marlborough students that are graduating this year a little plaid and there were from former Marlboro students to fast for financial aid one of them is in grad school so he just been off qualified so it comes down to two former Morrow students who are requesting financial aid in to graduating Marlboro students who are requesting to follow so there were there was what's $7,000 in scholarship in the school funds spreadsheet that I got from the town of Marlborough East for not correct I'm trying to I'm looking at some of the past things that have been done by Sheryl and Joe puleo darebin you know like last year there were seven kids to apply for scholarships your fear there was one year only one student apply for scholarships I'm generally the scholarship given priority we would we would give me money left over after that then they would financial aid so I ran this past Andrew so trying to use up as much as D7000 put more than $7 came up with the $2,500 scholarship for the two students that are graduating sure that are Marlboro students and then $1,000 for each of the other two students qualify for financial aid as a draft letter that I've drawn about this. I'm going to send out having fun computer. Robin Scott and gay and also the massages fun at 's what's a look at spreadsheet I don't have it with me now because I just have some questions and Jeff and I did some correspondence today you know just going over some of these numbers and making sure I think we're actually accurate so what's going on with the scholarship so I guess needing to unweld who is on Monday ship this out or if you want to see it right now I can't do you want to see this now I can email it's now or just what do you want to do I can email a riddle or some of the history of working with these we would prefer this is a question for anybody who knows we'd prefer not to communicate the names of the recipients or what do we need to approve this I I think that if you're if you're comfortable with the work that Mark is done and how he has articulated how the determinations were made then you would just approve or make passive motion to approve the Grant awardees as presented so that we are not inadvertently notifying someone ahead of time of of their receiving the award Casper you I think you're the one that was not part of this I just saw the draft today so I've seen I've seen at least the draft wording and I'm okay if you have any questions find what you guys have done yeah I'm a baby what's the point of leaving you on when we retire lost board meeting I asked Andrew wanted to be involved generally there were two people on the nanny for this obviously it's been very difficult with the communication as far as soon as remotely I've been waiting and hadn't received any information until last week so it was kind of just a waiting game for me the first things I did get were the first students needing financial aid but hadn't received anything for scholarships so that's why things are kind of and then this meeting was called so it will go what kind of squeeze into the moment as far as getting this done right away so you know what I got at this point is just to know you know what's what the next step is here and and you know send a letter out looking up expense letter that I ever have drafted you what that letter Rob's sent to you so you can see what's going on yeah I think a copy would be good for us to have here Mark just so that you know we keep record of stuff how to make a motion that we accept the recommended mark and in regard to the awarding of scholarships and financial aid mr. Bemis mr. Miller set my volume you got me okay when did you get marks boat okay okay thank you very much you guys group is the word word for Camp scholarships that what were not like I don't know who is decision to make in the end of this is a school board decision or if it's mr. venomous Whitney's decision so it may not we may not be able to make any changes machine that those weren't going to be giving out this year because I guess two people applied for it and my my thinking was if it's those same two people apply for it next year and a further two people apply for it either the money would be spread out dinner between 4 people or or 10 people depending on how many people applied for it next year so my thought was reconsidering that and possibly giving that the deserving numbers are the deserving students this year with possibly having a copy out that they had a full year to spend that money I assume that it's a requirement on a sports camp and I feel ashamed for those two students to not get it just because they wouldn't be able to spend it with him what is possibly a limitation of this tomorrow or this calendar year so I can speak to that what I have is all my had gotten an email from Jay hello Audrey and she had spoken to Ben I'm sorry to Joe been in physical education teacher regarding the peer Sports Camp Joe said that he and Robin Whitney had discussed the program and they had to applicants what's YouTube covid-19 Health crisis they decided it was best not to award the pure scholarship and Joe said that he would encourage application applicants to reply next year so I think you know after talking about this with Andrew earlier is that you know we don't know how things are going to go I mean it is very is it very possible that you know baby Sports open up later on in this I'm so not to award these not knowing what the future of this upcoming year is you know will definitely not benefit these two kids will actually life is so we can't predict the future here with doctor going on and it went what's going to happen with sports so you know whether we should reconsider these two students that actually apply for this and you know with maybe two can you see. the word is there for them if you know the opportunity opens up where there will be two possibilities that will be involved with in the school year any comments I think it's paid for out of one of the trust funds are to the trust funds correct stop yelling to distrust one is Derek's sister's two separate. Here there is no I'm sorry just give me a second here I'm trying to work with two computers here I will find it was if it is true trust funds which I thought it was that we would have used this year to make the awards will still be there next year along with whatever Tumblr is worth depending on how investment scope balance of the year high school seniors is that I've actually apply for these Awards I don't have that information so if they are seniors apply for the these scholarships go to our current students in the elementary middle school level who are attending summer camp and the two summer camps that they had up spy to contact interested or let us know that they probably would not run this year it's a when they apply for these they apply for a specific Camp it was out those camps operating that's why those scholarships were not awarded this year but they're not for high school students there for elementary or middle school students all right there's anything else donate sewing like mr. Miller said that the funds will just keep adding so if all if four students apply next wishing to be shortchanged you should still be there next year and then hopefully they'll be camps running next year the way at the way that it set up as they apply for a particular camp in El Campo I'm going to operate this summer yeah my only thought is it would seem to make sense that did it to who applied this year and were awarded the funds this year should certainly be to who receive them next year and that's no that's in our hands as the border of subcommittee of the board to determine next year for sure does that make sense thanks for raising that issue do we know are good to kiss it we're going to get will they send them off Pro Bowl next year yes they will still both being supposed to last year okay is there any other I need other business in the public session hearing not I would move to that we enter non-public session for RSA 91a 3 need a second second mr. Miller okay so I'm going to pause the recording on the public session if y'all of you could log out of the zoo and go on to the other non public meeting link I will keep this meeting open so that when we're done on public will be able to return to it but I'm going pause the recording and I am going to turn my camera and microphone off on this platform and join you in the other platform okay call Clara I think Casper was planning to join us let's let's give them 45 more seconds and then we will progressed I think foxy was there anything that we need to consider stealing from the non-public session no I don't believe we need to seal anyting okay I didn't think so either could cast move to adjourn Ross how many scenarios do I have I don't think that's a ridiculous question I mean and you know how fast everything happens when closing the school songs the opening of the school year old student body every single day school where they're going to have to buy that in the building I need what what are you thinking I know analog you're Frozen Rob's waves are no longer rolling in so don't if you are frozen baby I'm Yours anything Robin I know that the governor has put together a task force right now to study this issue and Rob is on that task force that are being about framework by the end of June with more detailed plan by the end of July I was also working with a group he's put together his own committee to start studying things locally as well so there are no definitive plans at this point but we're we're working through the Ted 2 State task force good enough for me I know that you know things are always stand by for the next chapter anything else before we move to adjourn sorry I got kicked out of my own meeting we had a meeting without you were off so you missed out on the role? I didn't hear the end of your question but I got pretty much the gist of what I got booted and that's a lot of the work that we are doing right now with the task force that that the commissioner has enacted further we've got we've got a working group with all of the SAU principles we are having those discussions you asked how many scenarios do we have right now the answer right now is zero we haven't gone down that that Avenue may be as far as other districts are other essay used hiab that was due to be trying to make sure we were getting complete information before we before we went too far down a specific Avenue without having all of those details for us but we are planning to continue those, stations and how we're going to proceed in that will that will be done through the efforts of all of our building leaders and and we will be involving the community or updates that I put in the daily update that crossed so that people in the dark on it memories recently there's going to be some kind of servatus going to be going out to the public correct yeah at some point but we're not ready for that yet for I normally go on hiatus over the summer yes is that likely be the case this year also you think well I think what we what we structure and Casper is that if they action items that need to be taken that's when we're going to continue to agree to meet but if it's informational you're receiving that information in the daily updates anyway save another question to speaking with somebody in a different s a u and his daughter is allowed there using Google meet and Google Classroom just like just like we are and they're allowed to use their meats for catching up with friends and things like that where the decision came from our SAU is or maybe it's just Marlboro school is not allowing the kids to use Google classroom and meats and hang out for a another in school Robin do you want to speak to that that's that was what all of the principals have decided that was a that this is a school platform and if we're allowing the kids to be on it for other things other than school activities is no way to monitor that and make sure it's being used appropriately so that wasn't just Marlborough School General the general feeling Andrew was that if they were meetings at children wanted to set up it should not be through a school-sponsored structured vehicle knowing that you know that is not the intended purpose and we have captured some meetings where there was very inappropriate racially charged conversations that were happening that we said look can't let this happen but because otherwise we're guilty I'm saying this is okay so understood I think my brother is doing this in addition to many of our their schools are still holding lot morning meetings and many of the classes where the kids are interacting with one another correct Robin so I mean they're getting a flame can socialize through a structured way that they would typically I mean it's not like free play at recess but they are having a time to talk to one another correct under the direction of the supervision of a teacher everything else nobody has anything else which is totally fine I'd entertain a motion to adjourn mr.
